Filtering enterprise reports with custom reporting groups

Create custom groups of brands for easy report filtering by region, specialty, and other characteristics.

Enterprise users managing multiple brands in Swell can filter reports to a specific subset of brands based on criteria like region, specialty, or characteristics. You can create as many reporting groups as you like, and can apply up to 5 to any brand that you manage.

Reporting groups examples

The following are some examples of how you could utilize reporting groups to gain greater insights from your data. 

  • Regions. Adding reporting groups such as North Region, East Region, etc. would allow you to compare results across regions. 
  • Specialty. Creating reporting groups such as Dentistry, Endodontics, Orthodontics, etc. can yield insights to how different specialties perform with NPS, review rates, and more. 
  • Technology used. You can use reporting groups to distinguish between brands that use different technology. This can help you to understand if one piece of technology produces better results in generating reviews. If you have any brands that aren't utilizing Swell, for example, you could utilize reporting groups to see how Swell brands perform on metrics such as average reviews received. 

Other ideas include filtering by tenure with the organization, by brand size, or by integration/tech stack. Any criterion that you find useful for reporting can be represented as a reporting group.

Creating custom reporting groups

As an Enterprise administrator, visit Settings > Enterprise Admin > Brands.

1. Open the Reporting Groups dropdown under any brand and select Edit List.

2. The Edit Reporting Groups sidebar will open. From the sidebar, select Add Option.

3. Type in the name of the desired of reporting group. For ideas on how to utilize reporting groups, read Reporting groups examples. Click the checkmark to save your changes. 

4. Continue to add as many reporting groups as desired. When you are done adding reporting groups, click the X in the top right of the sidebar to close it. 

Assigning reporting groups to brands

1. Navigate to Setting > Enterprise Admin > Brands

2. Open the Reporting Groups dropdown next to the brand you want to update. Select the reporting group you wish to assign to the brand. 

3. You can continue to add additional reporting groups if more than one is applicable to the brand. You can add a maximum of five reporting groups to a brand. 

Editing or deleting reporting groups

Changes made to reporting groups can take up to one hour to reflect in enterprise reports.

1. To edit existing reporting groups, open the Reporting Group dropdown and select Edit List

2. The Edit Reporting Groups sidebar will open. To change the name of an existing reporting group, open the actions menu to the right of the reporting group you wish to edit and select Edit

3. Once you've finished changing the name of the reporting group, select the checkmark to save your changes.

4. If you want to delete a reporting group, open the actions menu to the right of the reporting group and select Delete.

Using reporting groups in reports to gain new insights

Reporting groups make it easy to filter data down to subsets of information that are interesting to you. For example, you could use reporting groups to view data for just your endodontic practices, or to look at orthodontic practices in your West Region. 

1. Navigate to your enterprise dashboard. 

2. Click the Reporting Group 1 dropdown in the filter sidebar. Select a group that you want to see data for. 

3. If desired, select additional groups in the Reporting Group 2 and Reporting Group 3 dropdowns. 

4. If you have selected multiple reporting groups, you can adjust how results are filters by using the Group Behavior dropdown. Select one of the following: 

  • And. This will only show brands that match all of the selected reporting group criteria. For example, if you had selected the Eastern Region and the Orthodontics reporting groups, data would be filtered down to just the brands that matched both criteria. 
  • Or. This will show all brands that match any of the selected reporting group criteria. For example, if you had selected the Eastern Region and the Orthodontics reporting groups, data would be filtered down to any brand that belong to either reporting group.
